Tips for Creating Polished Business Voicemail Greetings

When someone calls your company, your business voicemail greetings are likely the first impression they’ll have of you and your business.

Sure, ideally you would be around to take the call. But for the times you’re not, you’ll need a professional, courteous message that ensures that your first impression is positive.

Read on, to learn how you can up your voicemail game and create a friendly, polished greeting.

How to Create the Best Business Voicemail Greetings

Most professionals are busy throughout the day and often miss calls from potential clients and customers. For this reason, creating business voicemail greetings is hugely important.

Here are some top tips for creating a voicemail greeting you can be proud of:

Keep It Short

In today’s society, people have shrinking attention spans. That’s why it’s important not to waste your caller’s time. Instead, make a quick list of what it is you want to say. Maybe you’d like to let them know who they’ve reached, and thank them for calling, before promising to ring them back.

Keep this list in front of you while recording your message, and you’ll be less likely to ramble. Aim to keep your message no longer than twenty or twenty-five seconds.

Limit Noise

If you record your business voicemail greetings in a busy bar or the subway station, it’ll be obvious to your callers. Loud music, background conversation, and traffic don’t inspire much confidence in your professionalism.

Being aware of your background noise is critical. Otherwise, you could risk losing out on an opportunity to demonstrate that you’re a professional. You also risk making your caller feel unimportant.

Record your voicemail message in your home or office, or somewhere quiet. It’ll only take a few minutes but will make a huge difference.

Be Unique

Your business is unique, so your voicemail greeting should be too. Your callers hear generic messages every day, so why not aim to stand out?

It’s possible to be unique, memorable, professional, and fun, all at once. Maybe add a pun, or mention something funny about your business. You may even want to include a business-related joke.

Engage With Your Callers

Every interaction with your leads and customers is an opportunity to engage with them. Sure, voicemail is more of a one-sided conversation. But you can still create a dialogue between you and your callers.

One great way to do this is to ask your callers a question. Keep it non-business related if possible and reveal something about yourself in turn. You may want to tell them your favorite food, and let them know you’ll call them back ASAP if they do the same.

By breaking down walls and being unique and different, you’re creating a human experience for the people who are calling you. Business doesn’t need to be boring, and you can still be professional while keeping it lighthearted.
