Office Administrative Assistant

Our rapidly growing technology company is seeking an Office Administrative Assistant to maintain records and oversee smooth transactions with clients. The successful candidate will have excellent communication skills and a strong quantitative background, along with a proven record of successfully handling accounts. The ideal candidate should be a team player, enjoy working with a variety of clients, and have a knowledge of basic accounting functions. We also value those who are ready to learn and adapt to a fast-paced work environment.

ESSENTIAL RESPONSIBILITIES:

  • Greeting clients and visitors, as needed
  • Maintaining office equipment
  • Oversee clerical tasks, such as sorting and sending mail
  • Keeping an inventory of office supplies and ordering new materials, as needed
  • Organize office and assist office staff along with field technicians in ways that optimize procedures
  • Manage general account inquiries (internal/external)
  • Contact clients regarding past due invoices
  • Answer multi-line phone system
  • Input service requests
  • Collate and distribute mail
  • Oversee all company vehicles for maintenance, insurance, tags, etc.
  • Prepare communications, such as memos, emails, invoices, reports, and other correspondence
  • Create and maintain filing systems, both electronic and physical
  • Create and maintain maintenance contracts for customers
  • Create proposals for clients

QUALIFICATIONS & SKILLS:

  • Excellent interpersonal skills
  • Warm personality with strong communication skills
  • Must display 2 years of experience on resume
  • High school diploma or equivalent
  • Prefer experience in Excel, Word, PowerPoint, and QuickBooks
  • Great analytical skills
  • Eye for detail
